Background

The United Nations system in Indonesia works as a team to develop the best strategy to respond to national needs and plans, building on agency asset. To support its operations, UN Indonesia is opening vacancy for roster of qualified personnel.Candidates will be assessed by UN Human Resources team for particular type/level of function.

Candidates are requested to carefully review the minimum requirements for advertised posts before making a decision to apply. These minimum requirements are stipulated on each vacancy announcement. Depending on the position, other factors to be evaluated may include national versus international experience; progressively responsible and/or diversified experiences at the level of managerial/leadership responsibility held; and, knowledge of a particular geographic region, including local languages.

Selection process will be conducted without regard to race, creed or sex and, so far as is practicable, selection of candidate shall be made on a competitive basis. Qualified candidate who are selected will remain on the roster for 12 months from the date of advertisement and will be contacted by UN agencies as soon as the need for the post arises.

I. Organizational Context

Under the guidance and direct supervision of the Communications Analyst or Communications Associate, the Communications Assistant supports the implementation of the communications and advocacy strategies of the office to increase the standing and awareness of UNDP with partners, the media and the public. The Communications Assistant promotes a client-oriented approach in UNDP.

The Communications Assistant works in close collaboration with the Management Support and Business Development, Programme, Operations and project staff in the Country Office and UNDP HQ, as required.

Duties and Responsibilities

II. Functions / Key Results Expected

Summary of Key Functions:

* Support to implementation of communications and advocacy strategies
* Administrative support to communications team
* Facilitation of knowledge building and knowledge sharing

1. Supports the implementation of CO communications and advocacy strategies and CO publications policy focusing on achievement of the following results:

* Logistical support to the organization of publicity/outreach for the CO programme, knowledge-sharing events and promotional opportunities, especially UN events.
* Dissemination of information and publications; assistance at public events such as roundtable discussions, press conferences, briefing sessions, interviews.
* Maintenance of information database and photo library
* Collection of information, preparation of content for the web sites
* Extraction of data from various sources.
* Research and retrieval of statistical data from internal and external sources;
* Arrangement of briefings and regular meetings with other UN agencies in the CO and with national and international media.
* Logistical support to UN information campaigns (UN Day, World AIDS Day, etc.)
* Administrative and logistical support to the communications team, including for initiatives such as media workshops, press briefings, report launches, etc.
* Budgetary support in Atlas as required, including creation of vendors
* Review of translations, contacts with printers and other suppliers to ensure production

5. Ensures facilitation of knowledge building and management focusing on achievement of the following results:

* Identification, documenting and drafting of best practices and lessons learned.
* Participation in training for the CO staff on effective communications and advocacy.

III. Impact of Results

The key results have an impact on the reputation and standing of UNDP in the country. High quality information material and well-organized public events enhance UNDP position as a strong development partner. A client-oriented and efficient approach impact on the image of UNDP in the country.

Required Skills and Experience

V. Recruitment Qualifications

Education:

* Secondary education. University Degree desirable, but it is not a requirement.

Experience:

* 3 to 5 years of relevant experience in communications, public relations and administration. Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems.

Language Requirements:

* Fluency in UN and national language of the duty station.
