I. Organizational Context

Currently, UNDP together with the Directorate General of Electricity and Energy Utilization (DGEEU) are in the process of running a Full Scale GEF-funded project entitled Integrated Microhydro Development and Application Program (IMIDAP). The project aims to expand Indonesia?s energy options through the promotion of microhydro technology and application. It will further contribute to poverty eradication by ensuring higher productivity for rural communities through more reliable and ready energy sources. The IMIDAP has four component programs: Microhydro Policy and Financing, Community Based Microhydro Developmentand Institutional Capacity Building, Microhydro Technology Support, and Microhydro Application Programs.
In order to support administrative works in the IMIDAP activities, within guidelines and limits of authority established by the policies of the project organizational structure, a qualified administrative Assistant is required. The Administrative Assistant shall be responsible for providing administrative backstopping to the project and ensuring the smooth functioning of administrative systems under the project.


II. Functions / Key Results Expected

Summary of key functions:

  • Under the guidance and supervision of the Administrative Associate and Finance Associate, the Administrative Assistance supports the implementation IMIDAP?s administrative and financial activity related to project works.

III. Impact of Results

  1. Establish administrative/financial systems and procedures consistent with UNDP?s national execution mode, in the form of a Manual, for the guidance of project staff, consultants and subcontractors;
  2. Maintain an active file of all personnel, consultants and subcontractors under the project;
  3. Prepare and consolidate the travel plan, and procurement plan for the project;
  4. Supervise the procurement requirements of the project, in accordance with UNDP guidelines, maintain an updated inventory of all supplies and equipment and prepare guidelines for the proper use and maintenance of office equipment and properties;
  5. Make arrangements for the logistical requirements in training, workshops, and other Project activities and assist the project staff, consultants and others in their overall administrative and day to day financial management requirements.

V. Recruitment Qualifications

Education:

  • University degree in bussiness administration, management, secretary or related field.

Experience:

  1. More than five years experience as Administrative or financial Officer in any developmental project, experience with UNDP projects would be desirable;
  2. Demonstrates excellent written and oral reporting skills.
  3. Ability to meet project deadlines, work independently and as a team member, and be self-motivated.


Language Requirements:

  • Fluency in English and Bahasa Indonesia.
